We are the data controller responsible for your personal data. We are not required to appoint a Data Protection Officer; the contact above handles all data protection matters.

What personal data we collect

Depending on how you interact with us, we may collect:

  • When you make a booking or enquiry: your name, email address, phone number, postal address, the dates and details of your stay, the number of guests, any special requests or accessibility needs you share, and the lodge you book.

  • When you pay: payment is processed securely by our booking and payment providers. We do not see or store your full card details — these are handled directly by the payment processor.

  • When you contact us: any information you include in an email, enquiry form, phone call, or message.

  • When you subscribe to updates: your name and email address, where you have asked to receive our occasional emails.

  • When you visit our website: technical information such as your IP address, browser type, device, and how you use the site, collected through cookies and similar technologies (see the Cookies section).

  • When you book through a third-party platform (Airbnb, Booking.com, VRBO): the booking details those platforms pass to us, which may include your name, contact details, and stay information.

Why we use your data, and our legal basis

Under the GDPR we must have a lawful basis for using your personal data. We rely on the following:

  • To manage your booking and provide your stay — confirming your reservation, sending arrival information, preparing your welcome, responding to requests, and dealing with any issue during or after your stay. Legal basis: performance of a contract with you.

  • To respond to your enquiries — answering questions before you book. Legal basis: our legitimate interest in responding to people who contact us, or taking steps at your request before entering a contract.

  • To meet our legal and tax obligations — keeping records required by Irish law. Legal basis: compliance with a legal obligation.

  • To send you marketing emails — only where you have asked us to, or where you are an existing guest and we are telling you about similar offerings, in line with Irish ePrivacy rules. Legal basis: your consent, or our legitimate interest.You can unsubscribe at any time using the link in every email.

  • To improve and secure our website — understanding how the site is used and keeping it safe. Legal basis: your consent for non-essential cookies; our legitimate interest in a secure, functioning site.

Who we share your data with

We do not sell your personal data. We share it only with the service providers who help us run Glenogue, and only as far as needed:

  • HotelRunner — our booking and property-management system, which powers reservations made through our website and processes your booking details to confirm and manage your stay.

  • Wix — our website platform, which hosts the site and our email marketing tools.

  • Payment processors — who handle your payment securely.

  • Online travel platforms (Airbnb, Booking.com, VRBO), where you book through them rather than directly with us.

  • Professional advisers and public authorities (such as our accountant), where we are legally required to share information.

Some of these providers may process data outside the European Economic Area (for example, in the United States). Where they do, appropriate safeguards are in place — such as the EU Standard Contractual Clauses or the EU–US Data Privacy Framework — to protect your data to the standard required under the GDPR.

How long we keep your data

We keep your personal data only as long as necessary:

  • Booking and guest records: for the duration of your stay and afterward for as long as Irish tax and accounting law requires (generally up to six years).

  • Enquiries that don’t lead to a booking: kept for a reasonable period, then deleted.

  • Marketing subscriptions: kept until you unsubscribe.

  • Website analytics data: kept in line with the settings of the tools we use.

Cookies

Our website uses cookies — small files placed on your device — to make the site work and the booking system function. Essential cookies are necessary for these purposes and do not require your consent.

We also use non-essential cookies to understand how the site is used. These are only placed with your consent, which you give through our cookie banner. You can change or withdraw your choice at any time through your browser settings or the cookie banner.

Your rights

Under the GDPR and the Irish Data Protection Acts, you have the right to:

  • access the personal data we hold about you;

  • have inaccurate data corrected;

  • have your data erased in certain circumstances;

  • restrict or object to how we use it;

  • receive your data in a portable format;

  • Withdraw consent at any time where we rely on it.
